Customers who book and don’t show: what barbershops can do

An empty chair because a customer missed their appointment is income you can never get back. Small shops have 4 methods that actually work, and the last one needs no system at all.

A barber sits idle for half an hour because the person who booked never turns up. Ten minutes earlier, a walk-in customer was told the schedule was full. That’s money lost twice over, and almost every barbershop sees it several times a week.

This article won’t promise to bring no-shows down to zero. That can’t be done. But there are four things that genuinely reduce them, ordered from easiest to hardest.

1. Remind about an hour before the appointment, not a day before

A “See you tomorrow at 2 pm” message sent the evening before gets read and forgotten. A message sent at exactly 1 pm, when they’re deciding whether to leave the house, works much better.

A shop can send these itself over LINE chat, but someone has to keep watching the clock. The busiest days are the days the reminder gets forgotten most often.

The QueueD barbershop booking system automatically sends a LINE reminder to customers who have linked their account, 30 to 60 minutes before their appointment. One message per booking, covering both bookings the shop has confirmed and bookings customers made that are still waiting for confirmation. The shop needs to connect its own LINE Official Account first (Basic plan and up). Customers who haven’t linked LINE won’t receive it, which is the reason for the next point.

Two kinds of booking get no reminder: bookings made less than half an hour ahead, and appointments starting before 08:15 or after 22:30. In both cases, the booking confirmation says that no reminder will follow.

2. Get customers to link LINE on their very first booking

A customer who books through the shop’s link and taps to link LINE gets a confirmation message right away, plus the reminder from point 1. Customers who phone in or book in person can still be added to the schedule by the shop, but there’s no automatic way to remind them.

What many shops do: put a QR code for the booking link on the counter, and once the customer has paid, invite them to book their next visit on their phone right there. Do this once and that customer gets reminders from then on.

3. For repeat no-shows, let the system remember for you

The shop already knows who tends to skip appointments, but when bookings come in during a rush, nobody opens the notebook to check.

In QueueD the shop can set how many no-shows it takes before a customer is blocked (the default is 3, and you can turn it off if you don’t want it). Once a barber has marked a customer “no-show” that many times, the customer can’t book through the shop’s link until the shop unblocks them. Nothing to remember, nothing to explain at the counter.

Set the threshold under Settings → Customer groups (ตั้งค่า → กลุ่มลูกค้า). It applies to every customer immediately, with no waiting for a new cycle.

4. Don’t book so tightly that barbers have no room to move

This one isn’t about customers, but about how much a no-show costs when it happens. If a barber’s schedule is packed back to back from 10 am to 8 pm, one missed booking is a gap nothing can fill. With a 10-minute buffer between bookings, a walk-in still has room to squeeze in.

In QueueD you can set buffer time before and after bookings for each barber (a barber who does colour needs longer to pack up than one who only cuts), and the system won’t let anyone book over that buffer.

What QueueD doesn’t do yet

There’s no deposit system. If your shop wants to collect payment upfront when customers book, for now that has to happen outside the system. We decided not to build it because we haven’t seen that most barbershops want it. If your shop does, let us know.

Where to start

If you have five minutes, do point 3: set the no-show blocking threshold, then forget about it. If you have half an hour, do point 2: print the booking link QR code and stick it on the counter. Point 1 will follow on its own.

Try QueueD free for 14 days. No card needed, and the free plan stays available after the trial ends.
